Position Summary

Under general supervision this position is responsible for providing business processes administration, security administration, and tenant setup configuration and maintenance. This position requires broad technical, architectural, and business knowledge of Workday as well as extensive skills and experience in assessing business requirements and delivering solutions that are aligned with business goals. Due to the distributed and complex administrative structure of LMU’s Workday implementation, the ITS Workday Administrator expertly navigates cross-functional teams, collaborates with other business units, and interfaces seamlessly with both functional and technical team members.



Job Description

Position Specific Responsibilities/Accountabilities

Perform Workday system administrator functions. Must have good understanding of HR and Finance business processes. Responsible for maintaining Workday system while addressing additional or new requirements. Must be thorough in setting up new or making changes to existing business processes, security and tenant configurations.

Collaborate effectively with functional leads and other business users to implement Workday new features and functionalities. Ensure all configurations in Workday are made to the system based on signed off requirements from the business and assist testers in complete testing. Make recommendations regarding process improvement for workflow.

Must have thorough understanding of Workday concepts, including but not limited to data structure, interdependencies, tenant configuration, security and business process administration. Maintain and assign security roles for Workday users with proper approvals. Work closely with ITS Information Security team and other security auditors to complete security audits.

Analyze future Workday releases to understand impact and capabilities of new features, specifically within existing Workday configuration. Implement new system features and enhancements.

Act as a consultant regarding system capabilities and represents HCM, FIN and ITS in design and modification efforts with outside consultants and other internal ITS resources. Communicate to business stakeholders regarding changes in functionality and all system related issues.

Revise and execute production schedules for routine and specific report requests. Responsible for maintaining integrations and reports. Prepare and present Root Cause Analysis to business users based on troubleshooting and analysis, and provide applicable recommendations.

Assist Workday Training Lead where end user training, education, communication and change management are needed to effectively use Workday products.

Provide day-to-day operations support and development including mass data upload (EIB), testing, unassigned BP tasks reassignment, and other maintenance and troubleshooting support.

Lead users through all phases of LMU’s SDLC, from business requirements gathering, design, configuration, testing, documentation, training, deployment and post-production support. This includes identifying and analyzing objectives for features, functionality, input and output requirements and architecture. Will be responsible for communicating with the end users as well as internal ITS resources.

Use Workday tools and other programming languages to develop or maintain integrations and reports. Maintain proper documentation and monitor performance of programs after implementation.

Discipline to work with highly confidential information and ability to critically analyze data input/output for accuracy and effectiveness. Analyze the requirements for data integration across University administrative systems. Analyze the University business processes with regard to data integration, and develops specifications for data integration and interfaces. Write computer code to integrate data between systems, and to manage data workflow.

Monitor the effectiveness of systems to the changing needs of the University. Keep aware of current trends in administrative systems, and evaluate the applicability of new systems to the needs of the University. Manage the needs analysis for the development and installation of new systems.

Maintain high level of assignment ownership, accountability, work ethics, efficiency, thoroughness, collaboration, communication skills and excellent customer service with all stakeholders. This is measured by being able to provide reasonable timeframe or target date on work assigned, own the tasks assigned, comprehend the conversation on meetings, provide clear meeting notes or requirements specification, set clear expectations, generate accurate and high quality of work, and deliver commitments on time.

Represent LMU within technical communities and at professional organizations or associations, serve on committees as required.

Support legacy systems, maintain data integrity, generate reports and other data retention requirements to support HR and Finance needs.

Perform project management duties on technical projects as necessary.

Perform other duties as assigned or requested.

Requisite Qualifications

Typically a Bachelor’s Degree in Computer Science, or related field or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

Minimum 3 years of system, business process and security administration, tenant configuration and programming experience in progressively responsible positions.

Experience and knowledge of configuring Workday HCM and FIN modules, complex business processes, security and tenant configurations is essential. Experience translating business requirements into Workday functional and technical solutions.

Demonstrated strong analytical and systems thinking with strong problem solving and troubleshooting skills. Well-developed root cause analytical skills with ability to configure and troubleshoot issues and defects.

Excellent collaborator and a team player. Ability to learn quickly in a dynamic environment, adapt quickly to changing business requirements and handle competing priorities, manage workload, and provide timely follow-up and resolution. Focus on quality and customer service.

Exemplary customer service and communication skills (both written and oral) evidenced by background in preparing comprehensive business requirements, specifications, deployment procedures, testing plans, maintenance processes and incorporating complex, highly technical information.

Work with minimal supervision and have significant attention to detail. Show of initiatives, follow-through, timeliness, and in some cases with a sense of urgency.


Preferred Qualifications

Preferably with Workday certification on Business Process Administration and Security Administration. Preferably Workday Pro certification in one or multiple HCM and FIN modules, broad understanding of Workday cross functional touchpoints and their impact within the Workday platforms.

Experience with Workday development tools like Report Writer, BIRT, Core Connector, EIB, and automation testing tool is highly desired.

Experience with Relational DBs, SQL, Oracle APEX, Argos, Ellucian Banner Student System and other enterprise applications within higher education is desired.
