Local family-owned insurance agency in downtown Livermore is looking for a new team member to fill our open position as receptionist & administrative assistant. We are looking for a friendly, organized, responsible, and energetic team player for our office. This position requires someone who enjoys a team-oriented environment and who projects a positive demeanor. The candidate should thrive in an (often) fast-paced environment and have the ability to demonstrate flexibility. This person should be pro-active in nature and has an excellent sense of judgment while ensuring work is handled efficiently without the need for constant supervision.

Our office is a team of 8 (mostly) women who enjoy working together as a team. This position is located in downtown Livermore and is 100% in person. Please do not apply if the commute will be an issue for you. We are looking for our next long term team member!

Responsibilities will include:

• Answer and direct all incoming phone calls
• Open and distribute incoming mail
• Monitor general email inbox
• Help update contact information for existing clients
• Assist in making minor insurance policy changes & taking client payments
• Assist the entire office & individual agents to stay organized
• Assist walk-in clients with meetings with our agents
• Keep inventory and order office supplies
• Assisting our manager with daily administrative tasks (accounting, licensing, office management)
• Be point of contact for maintenance & vendors.
• Decorate for Holidays.
• Organize & plan special events (birthdays, anniversaries, etc.)
• Greet and route incoming clients & meetings.

Skills necessary:

• High integrity and ethics
• Excellent phone etiquette and friendly demeanor
• Organized & detail-oriented with great attention to detail.
• Ability to easily multi-talk
• Savvy computer skills (Microsoft Office, programs)
• Excellent written & verbal skills, ability to send professional letters & emails
• Handle pressure in an often-busy work environment

Bilingual is a plus!

Compensation is $20 an hour. Full benefits for full-time employees after 90 days include medical insurance (Kaiser), dental, vision, life insurance, and up to 8 days of sick time a year. After 1 year of employment benefits include 2 weeks of paid vacation and 401(k) plan & employer matching.
