We are looking to add a new role to our Administration department. The Contract & Accounting Specialist will be responsible for completing routine accounting functions and contract administration.

Hybrid role with expectations to work a minimum of 3 days in our Solana Beach, CA office. (local candidates only)

Primary Job Responsibilities
  • Review various company contracts (including agreements/addendums/NDA), including sales/customers, purchases/vendors, business partnerships and related miscellaneous contracts
  • Coordinate with staff on all levels of the company to analyze and determine a comprehensive contract strategy
  • Review contracts for accuracy and compliance
  • Collaborate with internal teams, outside legal and third parties to ensure legal compliance
  • Coordinate with related parties regarding contract development, and draft and revise changes as required
  • Develop, prepare, and administer contracts that meets specifications and complies with all policies and regulations
  • Analyze potential risks involved with specific contract terms
  • Stay up-to date with legislative changes and coordinate with the outside legal as needed
  • Ensure all deadlines and conditions described on contracts are met
  • Prepare and distribute invoices with contracts
  • Assist with customer invoices and accounts receivable collections
  • Review and process expense reimbursements along with credit card expense reconciliation
  • Support month/quarter/year-end financial processes
  • Ensure accounts payable invoices are paid in a timely manner
  • Responsible for state tax filings
  • Receive and process checks (including check log updates and bank deposits)
Desired Qualifications/Skills
  • Working knowledge of computers and electronic data processing; experience with Microsoft Office software; working knowledge of modern office equipment, practices and procedures
  • The ability to multitask and possesses time management skills
  • The ability to understand information and ideas presented in writing and verbally
  • The ability to maintain strict confidentiality
  • Enjoy working with people and be able to show initiative, patience and courtesy
  • Detailed oriented, organized, perform self-review and correct own work without close supervision
  • Self-motivated and driven
  • Continual attention to detail in composing, typing and proofing materials for grammatical and spelling errors
Requirements
  • 2+ years of experience with accounting responsibilities and administrative support duties
  • Corporate legal experience preferred
  • Bachelors degree preferred
Physical Requirements
  • Ability to sit at a desk, computer terminal or meeting table for a long period of time
  • Ability to use hands and fingers or adoptive equipment to safely operate assigned equipment
  • Ability to use telephone frequently for a long period of time, and to hear and speak clearly by telephone
